# AI agents that get real work done, not just answers.

While you run the business, your AI agents read email, manage your calendar, draft responses, and keep every task organized on their own.

In plain terms: email, your calendar, and information scattered across systems flow in on one side. The AI agent drafts responses, creates tasks, and keeps everything organized on the other, without anyone asking it to.

## AI Abstraction’s AI agents work with the tools you already use

No need to rip out what’s working. AI Abstraction’s agents connect straight into it.

## Problems AI Abstraction’s AI agents solve for small businesses

Most small businesses lose leads after hours, bury staff in repetitive admin work, scatter customer information across disconnected tools, and let follow-ups slip when everyone is busy. AI Abstraction’s AI agents handle these exact problems automatically, without asking your team to change how they already work.

### Leads go cold after hours

A prospect calls at 7pm, gets voicemail, and calls the next business instead. By morning, the lead is gone.

### Your staff is drowning in admin

Scheduling, data entry, and follow-up emails eat the whole morning, before anyone touches real work.

### Information is scattered everywhere

Customer history lives in one tool, inventory in another, and notes in a shared drive nobody opens.

### Follow-ups depend on someone remembering

A quote goes out and nobody chases it. Paperwork sits half-collected. None of it is hard, it just needs doing on a day when everyone is busy.

## Why does this matter right now?

Customers now expect an answer the moment they reach out, day or night. If a call goes to voicemail or a message sits for hours, they call the next business instead. AI Abstraction’s agents answer immediately, so a slow response never costs you the sale.

## What services does AI Abstraction offer?

AI Abstraction offers six services for small businesses: managed AI agents, workflow orchestration, production engineering, knowledge-base training, lead qualification, and compliance documentation. Each one works on its own or as part of a larger AI agent.

## What does an AI agent actually do with a customer email?

Here’s a simplified, realistic example: a customer email arrives asking for a quote and a specific appointment time. The AI agent reads it, checks your CRM for the customer’s history and calendar availability, then drafts a reply and books a tentative appointment, and asks you to approve both before anything goes out.

Here is the same email, handled step by step:

Step through it. Use the arrow keys, or the buttons below.

1Email arrives2Agent reads it3Checks your CRM4Checks the calendar5Drafts the reply6You approve

1. ### Step 1 of 6A quote request lands in the shared inbox

    InboxTuesday, 8:14 AM1 of 12 unread

    From

    Dana Whitfield

    Subject

Quote for 3 windows + side door

Could you give me a price for replacing 3 windows and the side door? I’d prefer next Tuesday afternoon if you have anything open.

A customer emails asking for a price on three windows and a side door, and says they would prefer next Tuesday afternoon. Nothing has happened yet. On a normal week this sits unread until someone has time, which on a busy site can be the following morning.

2. ### Step 2 of 6The agent pulls out what actually matters

    Items

    3 windows, 1 side door

    Preferred time

    Next Tuesday, afternoon

The agent reads the message and extracts the useful parts: who sent it, what they want, how much of it, and when they want it. This is the step people expect a chatbot to do. It is also the least interesting one, because reading the email is not the work. Acting on it is.

3. ### Step 3 of 6It looks the customer up before answering

CRM contact recordMatched on email address

    Record

    Existing customer

    Address

    Last contact

Roof repair quote, 18 months ago

    Outcome

    Quoted, never booked

The agent checks your CRM and finds Dana is not a new enquiry. She had a roof repair quoted eighteen months ago and never booked it. That history changes the reply: this is a returning customer, not a cold lead, and the agent has the previous address and phone number already on file.

4. ### Step 4 of 6It finds a slot that actually exists

    Calendar, next TuesdayAfternoon availability

    - 12:00 PMBooked
    - 1:00 PMBooked
    - 2:00 PMProposed
    - 3:00 PMFree
    - 4:00 PMFree

The agent checks your real calendar for next Tuesday afternoon. Two slots are already taken. One is genuinely free at 2:00 PM, so that is the one it proposes. It does not offer a time you cannot make, which is the failure mode that turns an automated reply into a phone call.

5. ### Step 5 of 6It writes the reply and holds a tentative slot

Draft, not sentTo: Dana WhitfieldSubject: Re: Quote for 3 windows + side door

    Appointment

    Tuesday 2:00 PM, tentative

    CRM

    Enquiry logged against existing record

Hi Dana, good to hear from you again. I can take a look at the three windows and the side door. Would Tuesday at 2:00 PM suit? I have pencilled it in for now and will confirm once you reply.

The agent drafts a reply in your wording, references the previous job, and offers the 2:00 PM slot. It pencils the appointment into the calendar as tentative. Nothing has been sent and nothing is confirmed. Both are sitting in a queue waiting for a person.

6. ### Step 6 of 6Nothing goes out until you say so

Waiting for your approval2 actions pending

    Send reply

    Draft ready

    Confirm booking

    Tuesday 2:00 PM

    Approve bothEdit draftReject

Illustration. These buttons are not live.

This is the part that matters. The agent does not send the email or confirm the booking on its own. Both wait for you. You approve, edit, or reject, and only then does anything reach the customer. An agent that can act without asking is a liability in a business where a wrong price or a double booking costs real money.

Managed AI Agents

## AI Abstraction doesn’t hand you a prototype and walk away. We run it

Hosting, monitoring, and model updates, all ongoing, plus we review how your agent handles real conversations and refine it every month, so it gets more accurate the longer it runs instead of quietly breaking.

[See how managed hosting works](/managed-ai-agents/)

[See how this compares](/compare/) to doing it yourself, hiring a freelancer, or hiring an agency.

In plain terms: your agent’s status is checked continuously, day and night, with an alert the moment something needs attention, not after a customer notices first.

## How does AI Abstraction build an AI agent for a small business?

AI Abstraction builds an AI agent in four steps: mapping how work already moves through your business, building and testing the agent against real scenarios instead of a generic demo, deploying it alongside your team, and managing it every week after launch.

01

### Map

We map how leads and requests move through your business today, before we build anything.

02

### Build

We build and test the agent against real scenarios from your business, not a generic demo.

03

### Deploy

We launch it alongside your team, with a clear plan to roll back if anything needs adjusting.

04

### Manage

We host, monitor, and tune it every week, for as long as you keep it running.

## Questions owners actually ask

How much does this cost?

AI agents from AI Abstraction have a one-time build fee ($2,999-$8,999 depending on complexity) plus ongoing managed hosting from $299 to $999 a month per agent, with a free pilot before either cost applies. Billing is month to month, with 30 days' notice to cancel.

Will my team have to learn a whole new complicated tool?

No. The agent works inside the tools you already use, like your email, calendar, and CRM, so there's nothing new for your team to log into or learn.

How long does it take to get started?

You can be running a free pilot within about a week of getting in touch. A full build after that varies by project. We'll give you a realistic timeline once we've mapped how work moves through your business today.

Will this replace my staff?

No. It handles the repetitive, always-on parts of the job, like answering after-hours calls or logging leads, so your team can spend time on the things that need a person.

What happens if it breaks?

That's what Managed AI Agents is for. We monitor it, get alerted before you notice a problem, and fix it. It's part of the ongoing service, not an extra call you have to make.

Do I need my own IT person?

No. We handle the technical side, from setup through ongoing maintenance. You tell us what you need; we run it.

What data do you need from us?

Only what the agent needs to do its job: things like your call scripts, FAQs, and the systems you want it connected to. We'll walk you through exactly what's needed before we start.

See [every question we get asked](/faq/), grouped by topic.

## Who's building your AI agent?

Jay Taheri, Founder & CEO, has more than 25 years in software engineering and systems reliability. When you call, that’s who answers, not an account manager reading from a script.
